Monday Morning Checklist – Meet with Your Leadership Team
- met with the pastor,
- enlisted prayer warriors,
- scheduled VBS dates and times,
- enlisted a leadership team,
- ordered your VBS 2016 Jump Start and Starter Kits,
- prepared for training events,
- set goals,
- created a budget and planning calendar,
- begun plans for continued connections,
- initiated promotion plans,
- started general enlistment,
- and recruited promotion and decoration teams.
That is a lot to accomplish, but we have been working together since September and progressing one step or action at a time.
With all of these actions either behind you, or in progress, it is time to pull the leadership team together to review actions taken and plan next steps. It is also time for the leadership team to begin meeting on a regular bases – weekly, twice a month, monthly. The complexity of your VBS and the amount of work to accomplish should determine the frequency of meetings. You definitely do not want to meet just to be meeting. No one, including you, has time for that.
A good place to begin planning your meeting is by reviewing your planning calendar. Check off actions taken, make a list of tasks that need to be completed, and tweak or move calendared actions to accurately reflect your progress. Don’t beat yourself up if you or your team were unable to complete a task that the calendar indicates should have already been completed. Just move the action to a new date and start from there.
Following are six keys to a productive meeting:
- Meet only when you have a true need to meet.
- Create an agenda and send it to the team ahead of time.
- Start and stop on time. Honor the time commitment members are making to serve on the team.
- Stay true to the agenda. If other issues arise during the meeting hold them for future agendas.
- Have adequate information available so decisions can be discussed and made intelligently. Strive to insure every discussion ends with a decision. Table as few actions as possible.
- Make assignments and give authority along with responsibility.
